Fleet management software is a platform that brings the running of a company’s vehicles into one place. It collects data from each vehicle, presents it in a single dashboard, and gives fleet managers the tools to act on it: tracking location, scheduling maintenance, monitoring driver behaviour, managing compliance, and reporting on cost.

Fleet management software lets you handle the tasks that make up the working day: recording driver activity and vehicle use, planning and monitoring routes for optimisation, and analysing the KPIs that matter in fleet management.
The technology sends data from vehicles and trailers to the platform. That gives you access to a great deal of information, but the value comes from what you do with it. Whether a fleet is genuinely using its data is usually a better predictor of results than which package it bought.

It connects to telematics devices fitted to your vehicles, or to the vehicle’s own factory-fitted connectivity where that is available, which collect data such as location, mileage, and vehicle condition. That data is transmitted over the mobile network to an online platform where fleet managers view dashboards, generate and analyse reports, and automate day-to-day processes. The calculation is rarely about the price of the tool. It is about the hours spent keeping it current.

In practice the terms are used interchangeably, and most buyers searching for one mean the other. Where a distinction is drawn, "system" tends to describe the whole setup including the in-vehicle hardware, and "software" the platform layer on top of it. If you are comparing suppliers, it is worth checking which they mean, because it changes what is included in the price.
